Preparing for your Business Move
Servers, PCs, Computers, Routers, External Hard Drives and IT Equipment
All Servers, PCs, computers and peripheral equipment must be shut
down and switched off. Where backups are necessary before the move, these
should be performed by the IT staff responsible. Make sure cables, extensions,
external drives, speakers, monitors, the mouse and any other peripherals
are switched off, disconnected and bubblewrapped, securely bagged or boxed,
clearly labeled and packed safely in the Badgers containers. Use padding
or bubblewrap as appropriate.
Badgers staff will bubblewrap and pack items into containers if this
is required.
Printers and Photocopiers
If containing liquids or unsealed toners, these must be emptied from
machine prior to removal. Large machines must be dismantled and prepared
for transit by Makers Engineers. Where machines are leased/rented, Client
must check with their supplier whether Badgers are permitted to move said
equipment.
Metal Filing Cabinets and Contents
Metal cabinets are sturdy enough to be moved complete with contents
and should be locked. Remove key from lock and tape securely to
the cabinet or label cabinet and key. (Note: Keys should be clearly labeled
if they are to be packed separately). Cabinets which cannot be locked
can also be moved with contents in place if they can be secured with tape
or other appropriate bindings.
Empty Wooden Filing Cabinets or Office Storage Units
Wooden cabinets or modern storage units must be completely emptied
as they are likely to get damaged and collapse if moved with contents
in place. Label the units and box and label the contents.
Filing Racks and Metal Cupboards
Filing racks and metal cupboards must be emptied, including any shelves,
rails and clips (remember to label all items so they can be easily reassembled
after the move). Pack contents into the containers provided by Badgers.
Bookcases, Shelves and Shelving Units
Remove contents from bookcases and shelving, label and pack contents
into the Badgers containers provided. If bookcases are lockable, leave
them open, label and pack keys separately. Where there are glass sliding
doors, these should be either removed and packed separately (if possible)
or bubblewrap applied (in open position) to protect them during transit.
Desks and Desk units
Clear desks and empty all drawer contents, label and pack into the
Badgers containers we provide. Note: Drawers must be unlocked and keys
labeled and packed separately.
Large Drawer Units and Plan-chests
All drawer units and plan-chests should be emptied of contents and
any lockable drawers left unlocked (any keys should be labeled and packed
separately). Large sheets of paper/artwork/plans/technical drawings should
be rolled up if possible (protected with bubblewrap as appropriate) and
clearly labelled. Hanging filing systems or cabinets, should be emptied
and the contents packed in containers, unless they are considered small
enough to be moved with the contents in place (check with the Badgers
Removals Manager or Representative).
Technical Drawing Equipment and Drawing Boards
Drawing boards with side wires and weights should be taped securely
to prevent the risk of damage during the move. Remove lighting attached
with clamps or any other items attached to the board, label and pack separately.
Fire Resistant Cabinets
Fire resistant, 3 and 4 drawer, 'safe' type cabinets can be left
with their contents inside and locked if this has been arranged with the
Badgers Removals Manager or Representative. However, the keys should be
labeled and made available.
Safes
The contents of any safe should be packed separately. Heavy/large
safes should be unlocked and left open, the keys should be labeled and
be available to the Badgers Removals Manager or Representative. If a Safe
needs to be unbolted and re-bolted to a floor, this can be carried out
as a separate 'Safe' removal job (booked in with Badgers as such, before
the main move is carried out). It is the responsibility of the client
prior to the move, to check that the location of a safe in the new premises
is viable and the position correct (ie the client must be sure that the
floor can take the loading and is suitable for this purpose).
Indoor Plants and Planted Containers
Badgers will move individual indoor plants and large planted containers
to the new premises. However it should be noted that no responsibility
can be accepted for damage or deterioration that may occur to these fragile
items. If you have plants that have been provided on a hire basis, these
must be moved by the supplier.
Personal Items
It is important that employees are warned that they must not leave
personal items or belongings on the premises, under any circumstances,
during the removal process. Badgers cannot take any responsibility for
such items or their removal.
Dismantling of Office Units, Furniture, Work Stations, Displays
Before the move, you should arrange with the Badgers Removals Manager
or Representative what should be dismantled and taken down from walls
in preparation for the move. You should also make arrangements for what
should be reassembled and re-hung in the new premises. Modular furniture,
large paintings, notice boards etc can be dismantled and/or packed by
Badgers Staff if this has been pre-arranged as a separate part of the
removal process.
Containers for Removal Use are Supplied by Badgers
Badgers will supply and deliver their specialised purpose made plastic
containers and crates for the move. They will be delivered at a time that
is convenient to you, prior to the move. Your staff can use these containers
to pack all documents, books, records, stationery, archive material, etc.
NOTE: IT IS IMPORTANT NOT TO OVERFILL CRATES WHEN PACKING, MAKE SURE CONTENTS
DO NOT GO ABOVE THE METAL BARS WHEICH ARE USED WHEN CONTAINERS ARE PLACED
IN THE STACKING POSITION. Packed crates should be stacked 3 or 4 high
on the office floor and NOT placed on top of desks or furniture.
Labelling and Room Plans
It is important to discuss labeling and room plans with the Badgers
Removals Manager or Representative to ensure this is carried out in an
organised and clear manner. IF THERE IS ANYTHING THAT MUST NOT BE REMOVED
- MAKE SURE THIS IS CLEARLY UNDERSTOOD BY BADGERS STAFF.
To ensure that all items are removed and installed in the new premises
as required, there should be a set of room plans prepared by the client,
made available to the Badgers Removals Manager or Representative at the
time of the move. Responsibility for installing IT equipment and reassembling
office furniture etc should be clearly understood by both parties before
the move.
Room plans should show the floor plan of the office(s) and be marked
to show what items should go in the office(s) and in what position. If
the premises is open plan relevant areas should be identified in the best
way possible (show position of pillars, doors or other architectural features)
and again mark what items are to be placed in each area and where they
should be placed.
Use of Lifts during the Removal Process
It is the client's responsibility to advise the Office Building Manager
and/or Landlords of both premises, old and new, of the date and time of
the removal. Whatever arrangements need to be made by the client to ensure
that the move can be completed should be in place. Arrangements such as
keeping the building(s) open out of office hours and ensuring there is
access to lifts. Some office removals may require the client to arrange
for lift engineers to be in attendance during the removal.
Parking Permission for Badgers Removals Vehicles
It is vital that arrangements are made for the parking of Badgers
Removals vehicles during loading and unloading. This may involve suspension
of Parking Meters and other such special arrangements involving the local
Police or Traffic Wardens. All such arrangements must be discussed between
Badgers and the client prior to the removal date. (NOTE: All the London
Boroughs now make a charge for the suspension of Parking Meters.)
Removal of unwanted Rubbish
Badgers will expect the premises to be cleared of rubbish and plastic
bags or boxes containing unwanted material prior to commencement of the
removal.
If any rubbish is to remain on the premises, it must not get in the
way of the movement of items in and out of the premises in any way. Lift
areas and loading areas in particular should be kept clear.
